Subject: eCampus-Based Transition #2 - Campus-Based Process Transition Timeline December 2017-March 2018

As explained in an August 29, 2017 Electronic Announcement, Federal Student Aid will begin the transition of business processes for the Campus-Based programs to the Common Origination and Disbursement (COD) System in spring 2018.

In this announcement, we provide information about the expected transition timeline for Campus-Based business processes. Specifically, we focus on some of the activities that will occur between December 2017 and March 2018. This timeline also includes the expected date by which the current eCampus-Based (eCB) System will be closed to schools.

eCB System to COD System – Transition Plan Summary

We plan to transition eCB business processes to the COD System over the course of 2018 – the system implementation will be in spring 2018.

In the table attachment to this announcement, we show the Campus-Based business processes (e.g. tentative awards) and the platform (e.g. current eCB System or the COD System) in which schools will perform those processes. Some key dates are below:

Now through February 5, 2018 – Campus-Based processes completed in the current eCB System.

February 6, 2018 – Current eCB System is closed to schools; schools will not be able to log in to complete Campus-Based processes until after the system transition is complete.

March 23-25, 2018 – Campus-Based processes implemented in the COD System.

March 25, 2018 and forward – User access transition and Campus-Based processes become available. eCB System users will begin the process to gain access to the COD System, if they don’t already have COD System access. Specific instructions about user access and how and when users will need to transition to the COD System will be provided in early 2018.

Federal Student Aid is working directly with the nine currently-approved Work Colleges to arrange for the submission of their 2018–19 Work College applications. There are no other required submission deadlines between February 6th and March 25th, 2018, therefore, we expect minimal impact to schools. If a school needs assistance with an urgent matter during the transition period, it can contact the Campus-Based Call Center at 1-877-801-7168. We appreciate the community’s support as we begin this transition.

Additional Information

As we move through the transition project, we will provide operational guidance and updates through Electronic Announcements posted to the Information for Financial Aid Professionals (IFAP) website. Schools should continue to monitor the IFAP website for this additional Campus-Based System transition information in 2018.
